Buyer seeks proposals for a complete Employee Service Awards Recognition Program. The program recognizes employees at 5-year service milestones from 5 to 50 years. The vendor will provide personalized congratulatory letters, certificates, and award catalogs with progressively more valuable gifts for longer service. Employees must be able to select awards through a secure online portal with items delivered directly to them.

• Provide personalized congratulatory letters on county letterhead with scanned signature
• Create personalized color certificates with county seal logo and employee information
• Develop secure web portal for employees to view and order awards
• Create branded electronic/hard copy catalogs for different service milestones
• Ship award packets sorted by department and years of service
• Send reminder emails to recipients at 30, 60, 90 days intervals
• Provide monthly invoicing with redemptions and non-responder reports
• Deliver selected awards to employees' specified addresses within four weeks
• Provide tracking numbers for all shipped awards
• Verify annually employee eligibility information with Human Resources
• Offer progressively more valuable award options for longer service milestones
• Handle all customer service and warranty issues related to awarded items
• Provide secure electronic data interchange for employee information
• Supply representative samples of letters, brochures, and certificates
• Develop preliminary gift selection lists for each service milestone
• Ensure all award items have at least 90-day guarantee
• Provide tracking numbers via email for every shipped award
• Sort award packets by department and service years for efficient distribution
• Work collaboratively with county staff throughout project implementation
• Meet with county representatives as needed to resolve problems
