The buyer is seeking an experienced Event Management Company to coordinate all aspects of execution for annual events sponsored by Child Welfare Services. The buyer anticipates sponsoring up to 7 events per fiscal year, each hosting approximately 75-150 persons, except for the Supervisors' Retreat which hosts 25-30 persons. The contractor will be responsible for all aspects of event planning, execution, and post-event analysis. Services include venue selection, vendor management, on-site supervision, and budget development.

- Proven capability to perform work on schedule and with quality
- Knowledge, skills, and experience relevant to implementing event logistics
- Creative meeting/event planning experience, specifically for County/City Government events
- Experience working with non-profit organizations
- Develop and manage event planning timeline
- Identify and contract with appropriate venues
- Manage selection and contracting of service vendors
- Provide on-site supervision and event flow management
- Create logistics, program, and contact lists
- Coordinate with vendors on access, placement, timing, and payment
- Develop event budgets
- Create and manage event registration
- Participate in planning committee meetings
- Provide post-event analysis and reporting
